Responsibilities
Under general supervision, the incumbent is responsible for the retention, disposition, maintenance, retrieval, and dissemination of police records per Florida State Statute 119; Responsible for verifying case numbers, coding, and disseminating criminal and non-criminal reports; and for compiling and posting Public Crime Log; Responsible for filing reports/documents that are received via US mail, fax or e-mail. Assist other agencies by collecting, faxing, mailing, and redacting approved reports/documents as requested; Assist local, state, and federal agencies with background checks of employees, students, faculty, and staff of reported case files and/or documentation; Maintain a centralized automated records system for information retrieval for inter-agency and outside agency activities; Maintain a traffic records system that includes all traffic crash data, traffic enforcement data, and any reports on roadway hazards; The Florida Uniform Traffic Citations and Florida DUI Uniform Traffic Citations will be accounted for by the citation number; A Uniform Traffic Citation Booklet Log and Florida DUI Uniform Traffic Citations Log shall be maintained of all number sequences and to whom the citations were issued; Conduct periodic internal audits of all uniform and DUI traffic citations; Process and disseminate arrest reports/Notices To Appear to the State Attorney's Office or the Clerk of Court; Process all Domestic violence reports to local certified domestic violence centers; Process and disseminate all reports alleging student criminal conduct to the Office of Student Conduct and Conflict Resolution, Housing, Dean of Students, Environmental Health and Safety, and General Counsel's Office; Responsible for collecting, maintaining, and submitting crime data to the Florida Uniform Crime Reporting program per the procedures outlined in the Florida Department of Law Enforcement Uniform Crime Reporting Guide; Assist with preparing the Uniform Crime Report (UCR) for Semi and Annual reporting requirements.
Minimum Qualifications
Recommended Competencies
Knowledge of office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and databases;
Knowledge of Chapter 119, F.S., General Records Schedule for State and Local Government Agencies (GS-l), and the State of Florida General;
Records Schedule for Law Enforcement;
Knowledge of state, federal, and local laws as it relates to Records;
Knowledge of County, City, and Campus Geographical jurisdiction;
Performs word processing and/or data entry;
Ability to prepare clear, concise, and comprehensive reports;
Ability to quickly and accurately shift back and forth between two or more sources of information, both written and orally imparted, in performing a set of tasks;
Ability to work independently and cooperatively with citizens, sworn and non-sworn personnel;
Ability to comprehend and follow oral and written instructions;
Knowledge of computer terminal and NCIC/FCIC rules and regulations;
Knowledge of the criminal justice information system;
Ability to respond to the public in a courteous, calm, and effective manner;
Ability to function under stress and in emergencies and make independent decisions;
Ability to perform essential computer functions with minimal supervision;
Ability to communicate effectively verbally and in writing; and,
Ability to maintain confidentiality.
