The Staff Assistant is a vital part of the University Health Services team, creating positive patient experiences as the first point of contact. With a friendly, respectful, and professional demeanor, the Staff Assistant interacts with patients, visitors, and staff, ensuring a welcoming environment. Acting with discretion to maintain patient confidentiality, they navigate the UHS system, advocate for patients, and ensure timely approval of necessary services. As a member of the Front Office team, the Staff Assistant supports UHS operations through clerical duties and project-based work, and is cross-trained to broadly support medical front office operations. General Responsibilities
General Responsibilities
- Referral Coordinator: Ensures accurate and timely referral processing, facilitates patient registration, provides clinical information to specialists, and obtains prior approvals from insurance companies. Maintains relationships with external providers and reviews referral details with patients.
- Medical Coding: Manages clinical coding for billing, referrals, and pharmaceuticals.
- Immunization Compliance: Reviews pre-matriculation data and educates students and parents on requirements.
- Insurance: Answers inquiries and educates students and parents about the health plan and billing practices.
- Billing: Scrubs patient charts to ensure proper coding, charges, and billing in line with UHS practices.
- Receptionist: Acts as the first point of contact, schedules appointments, performs clerical duties, and schedules transportation for off-campus visits.

Minimum Qualifications
- One year certificate or training from college or technical school
Preferred Qualifications
- 6-12 months of medical office experience.
- Proficiency in scheduling, Microsoft Office, and basic office equipment.
- Experience with EHR systems, medical terminology, ICD-10 and CPT codes, general insurance practices, and UHS pre-matriculation requirements.
- Strong ability to collaborate with co-workers at multiple levels in a team environment.
- CPR/AED certification (provided if necessary).
