Position Summary/Purpose of Position:

Nature and Purpose:
The Department of Plant Science and Landscape Architecture seeks to fill the Assistant Director of Finance & Administration position. The candidate will work in the Departmental Business Office team to oversee the day-to-day management of Sponsored Awards, in coordination with the Program Management Specialist.

The candidate will administer requests for new hires/positions for contractual positions funded on Sponsored Research projects and Lecturer contracts. The incumbent will also coordinate with the Business Office team to support departmental budget reports, ensuring the department’s financial integrity and maintaining long-term financial planning and projections.

This position will also be a backup reviewer/approver for travel requests and departmental inventory tracking. The Assistant Director will report directly to the Director of Financial Services and will work closely with the Department Chair, staff, and faculty (and necessary Departmental stakeholders), College-level administrative officers, and administrative personnel across campus to successfully execute the duties of this position.

Essential Duties and Responsibilities

Essential Duty/Responsibility (1): 30%
  • Provide post award oversight to the Department’s Sponsored Research projects, in coordination with the Program Management Specialist.
  • In consultation with the Director, the Assistant Director prepares and administers the departmental budget.
  • Account management of special programs/projects within the departmental budget.
  • Development and management of state, grant, and foundation budgets.

Essential Duty/Responsibility (2): 25%
  • Effectively communicate and present critical matters to the Director of Financial Services and Department Chair.
  • Work with Director in the creation and execution of a business plan/departmental Plan of Governance.
  • In coordination with the Director, provides leadership and management to departmental financial and business administrators, ensuring adherence to all applicable policies, practices, and procedures.

Essential Duty/Responsibility (3): 20%
  • Administer hiring requests and HR needs for PTK appointments funded on Sponsored Research and part-time Lecturers.
  • Work closely with other units such as Human Resources, Payroll, and the Dean’s Office.

Essential Duty/Responsibility (4): 15%
  • Reviewer for monthly purchasing card and travel card expenditures with supporting documentation
  • Prepare analyses surveys and reports to meet the requests and needs of the University and external collaborators

Essential Duty/Responsibility (5): 10%
  • Backup support for Inventory tracking and tagging as required by UMD
  • Backup support for Departmental travel requests
  • Other duties as assigned

Minimum Qualifications:

Education:
Bachelor’s degree in Accounting, Business, Finance, or a related field.

Experience:
  • Minimum of seven (7) years of progressively responsible experience managing accounting, financial, and business operations in a complex organization.

Knowledge, Skills, and Abilities:
  • Strong knowledge of accounting systems, financial policies and procedures, and generally accepted accounting principles.
  • Strong interpersonal, communication, and organizational skills. Ability to work as part of a team to meet departmental needs.
  • Experience with developing clear financial reports and ability to work with departmental stakeholders to ensure that the reports are understood and complete.
  • Desire to learn new technologies as required by UMD.

Preferences:

Preferences:
  • MBA or Master’s degree in Accounting, Business, Finance or related.
  • 2 years of supervisory experience.
  • Experience with UMD proprietary software/systems such as KFS, PHR, and eTerp.
  • Experience with Workday as well as Concur Travel.
  • Experience in a University setting (preferably with an academic unit) with 3-5 years of coordinating budgeting and administration of sponsored research grants and contracts and special projects.
  • ORA certification for managing Sponsored Research projects or willingness to obtain (Basic, Intermediate, and possibly Master (if appropriate/applicable).

Additional Information:

Salary range $80,034-$100,043.
