Job Description

Duties and Responsibilities

Essential Duties and Responsibilities

The Payroll Accountant I reports to the Payroll Manager and is responsible for assisting the Payroll Manager in
maintaining the College's payroll systems and internal controls to provide accountability and reporting for internal
and external purposes.


Characteristic Duties and Responsibilities

1. Verify the accuracy of data provided from the Banner Payroll System reports.
2. Perform daily audits of employees' leave accruals, reconcile, and update leave records in Banner and the
timekeeping system.
3. Verify calculations of Human Resources pay memos such as vacation and sick leave payouts.
4. Verify and monitor Human Resources leave reports for payroll processing purposes.
5. Review agreements forwarded by Human Resources to ensure the information is entered accurately to the
Banner Payroll System.
6. Review that faculty leaves reports are filled out accurately.
7. Review and verify substitute pay information on faculty leave reports.
8. Calculate the paid offset leave in conjunction with worker's compensation temporary benefits.
9. Responsible for the reconciliation of all payroll payable accounts.
10. Prepare all payroll-related journal entries for manager review.
11. Provide an overview of payroll policies and procedures during the new employee orientation meetings.
12. Assist in preparing lead schedules, supporting documentation, and other schedules requested by external
auditors during the year-end audit.
13. Prepare check requests for payroll liabilities.
14. Assist in reconciling Employee Retirement System of Texas (ERS) health insurance premiums and Texflex
Deductions.
15. Assist in preparing the Teacher Retirement System of Texas (TRS) TRAQs report.
16. Assist with the preparation of the W-2 forms at year-end.
17. Responsible for submission of payroll related payments. (Child Support, taxes, etc.)
18. Assist with fiscal year-end procedures and rollover.
19. Prepare bank transfers for each fund after payroll is completed.
20. Assist with Bi-Weekly and Semi-Monthly payroll procedures.
21. Resolve employee questions and possible payroll discrepancies to ensurance accuracy of payroll records. 
22. Performs other duties as assigned by the Payroll Manager with the utmost confidentiality as most activities
and transactions of the office are of sensitive and confidential nature.

Qualifications/Certifications/Licenses/Skills

Required:

  • Bachelor's of Business Administration degree in Accounting from an accredited institution.
  • One to two years of work experience in an accounting-related position.

Preferred:

  • Experience in payroll accounting.

Knowledge, Skills and Abilities

  • Skilled in the use of 10-key calculators and the use of the personal computer software such as Excel, Word, and other windows applications. 
  • Must have knowledge of Generally Accepted Accounting Principles, fund accounting, and other industry guidelines.
  • Must have the ability to communicate effectively and work with personnel, management, granting agencies and customers in a professional and courteous manner. 
  • Must have the ability to prioritize, organize and complete multiple tasks with attention to detail, within stated deadlines. 
  • Must have strong analytic skills. 
  • Must be able to work independently as well as a team player within the department and with others. 
  • Must be able to write reports, business correspondence and procedure manuals. 
  • Must be able to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Physical Requirements 

While performing the duties of this job, the employee is regularly required to sit.   

The employee is occasionally required to stand, walk, stoop, kneel, or crouch.  

The employee must occasionally lift and/or move items weighing up to 50 pounds.

Work is performed in a standard office environment.  

Work-inside a well-lighted and air-conditioned area most of the time.
