The Student Support & Outreach Coordinator position requires a highly organized and proactive individual to manage and support a variety of key departmental functions, including internal communications, undergraduate and graduate student support, and summer program coordination.
This position will be responsible for developing and managing departmental recruiting materials, overseeing social media accounts, and ensuring effective internal communications, as directed by the Department Chair and Administrator and in alignment with the college’s Communications group and University standards. Additional responsibilities include managing the hiring process for various student and temporary roles, coordinating graduate student recruitment efforts, and supporting special projects. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment.
What You’ll Do
Department Communications
This position will be responsible for developing and managing departmental recruiting materials, overseeing social media accounts, and ensuring effective internal communications, as directed by the Department Chair and Administrator and in alignment with the college’s Communications group and University standards. What You’ll Do
Department Communications
- Create and manage internal communications as requested by the Department Chair or Administrator and work collaboratively with the college’s Communications group to ensure adherence with college-level strategy and Notre Dame brand standards. Oversee the department’s LinkedIn and X accounts, as well as the content for the displays outside the department office. Additionally, oversee the budget and procurement of departmental promotional materials
Graduate Student Recruiting
- Work with the Director of Graduate Studies and Graduate Program Administrator to manage the application and enrollment process of graduate students each spring. Communicate with prospective and admitted candidates via telephone and email. Assist with communications to prospective and admitted candidates. Assist with planning and execution of recruitment and yield events. Assist with other activities as needed.
CSE Undergraduate Research and Summer Programs assistance
- Coordinate the applications, registration, and department administration for the CSE undergraduate research and summer programs. Assist with the administrative responsibilities for CSE specific summer REU (Research Experience for Undergraduates) program with an emphasis on recruiting low income, first generation, and diverse populations to work with CSE faculty in labs and on campus.
Hiring and Salary Management
- Serve as hiring manager and Ultratime approver for all research, summer, and temporary employees
Additional Duties
- Backup to the Graduate Program Administrator for event support and administrative assistance.
- Special projects, department administrative support and other duties as needed

Minimum Qualifications
- At least a high school diploma or GED and at least 1 year of prior experience.
- Highly organized individual with the ability to efficiently manage and support a variety of key departmental functions, including internal communications, undergraduate and graduate student support, and summer program coordination.
- Excellent oral and verbal communication skills, and friendly and welcoming disposition.
- Proficient in computer skills and able to work with a number of standard software programs.
- Due to level of confidential material, a commitment to confidentiality is essential.
Preferred Qualifications
- Experience with event planning, communications, and recruitment strategies
- Proficiency with design software, including Adobe Creative Cloud (Photoshop, Illustrator, InDesign).
