Job Description
ADMINISTRATIVE ASSISTANT II, Materials Science and Engineering (DMSE), to perform complex and diverse administrative duties for faculty and their research labs and serve as a member of the DMSE Headquarters’ team, providing a wide range of administrative, financial, and human resources duties using a high degree of resourcefulness to research and resolve complex problems, exercise independent judgment, and anticipate needs; order supplies and purchase orders using B2P; manage credit card charges; handle requests for payment; make complex travel arrangements; process travel expense vouchers; assist faculty with course preparation and maintenance of teaching tools in a remote setting; work with DMSE HR in processing appointments and visas for visiting scholars and visiting students; enter hourly student and temporary employee appointments; and participate in quarterly financial meetings with DMSEHQ research administrator and faculty member.
Job Requirements:REQUIRED: High school diploma or four years of experience; an additional minimum of three years of direct or related experience in a professional administrative support position; robust written and oral communication skills; excellent interpersonal skills for interacting with a diverse group of research staff, students, and visitors; discretion when handling confidential information; solid organizational and robust problem-solving skills; attention to detail; ability to take initiative, and work both independently and within a team; ability to successfully balance and prioritize work load; proficiency with MS Word, Excel, and PowerPoint; ability to learn and become proficient in use and maintenance of databases, file sharing tools, teaching and communication tools in a remote setting, online scheduling tools, web development as well as additional applications such as Adobe Acrobat Reader.
